How to automatically organize files on a Mac
Some automation guesses. Some stuffs the mess into drawers and calls it clean. The useful kind is a rule you wrote, on files you cannot afford to lose.
Let's define automation
You want things to be done without your intervention and with minimal manual work. But how much do you want to give up? There's a lot of apps that make assumptions for you, for example, using AI, and others will ask you to be present more often than you want to.
One of the few cases when I say NO to AI
I'm sure that reliable automation is only possible when you're in control. Outsourcing decisions to AI is a big NO for me. Regardless of how they're advertised, they make mistakes and if it's an invoice or the latest release candidate build - you simply can't afford mistakes.
That's why RuleThemAll doesn't use AI. Is it technically possible to add it? For sure. But it's just too much risk for no return. Adding a rule inside RuleThemAll takes less than a minute and you're all set with complete safety that everything will be done the way you wanted.
Scripts and other forms of "hacking"
Mac gives you freedom to automatically organize files with scripts. If you're not technical, you can ask AI to write scripts if you're open to the idea. But I wouldn't recommend this even for experienced users. As a software developer and software tester, I can guarantee that there will be bugs, lots of them. One bad "rm -rf" and you're in big trouble, most of the time the trouble is irreversible.
Automation that puts things under the rug and calls it cleaning
There's a category of apps that don't ask you anything, they just automatically organize files into folders based on their type. Say, you have a messy Downloads folder, you run the app and now your 30GB of garbage is put into folders inside Downloads.
I call this backwards automation. Imagine you have a messy desk, and you just put all of the mess into drawers. Now the desk is clean but did you organize anything? Monica's secret closet comes to mind.
Why RuleThemAll?
It gives you options to do whatever you want to do and do it reliably. Move, delete, copy, rename, notify, etc. The actions and file criteria are diverse and allow you to combine them. You can monitor different folders and take action when and how you want.
Safety is baked in, you know precisely what was done. Everything tracked and reversible. You can go back in time and redo if needed. That's my kind of automation. No magic, no silver bullets, no AI slop. Just well tested algorithms that work the way you set them up.
How you actually turn it on
Open RuleThemAll and choose New Rule. Pick the folder that receives the mess. Match one thing — an extension is enough for most people. Choose Move, pick a destination you already use, read the sentence the editor shows you, and save. Watch the log for a day before you add a second rule. The clicks are in How to create your first rule.
